Know Before You Go

Please note the Oregon Convention Center's Policies: 

  • Outside food and beverages are prohibited.
    • You may bring small, individually wrapped candies as booth swag.
    • All other food items and outside alcohol are prohibited.
  • Waste diversion compliance
    • These items are prohibited in the OCC: foam core signage, hazardous substances, helium balloons, and single-use plastic bags
    • Exhibitors may not leave any materials on site and materials such as cardboard, glass, metal, shrink wrap, etc. must be placed in the proper recycling containers.

 

Conference App & Lead Retrieval 

  • Our official conference app is Whova, which empowers exhibitors to build dynamic profiles and connect with attendees before they even reach the exhibit hall. 
  • PNCWA is offering complimentary lead retrieval through Whova! Use the app to scan attendee badges, track booth visits, and make lasting connections.
  • The app also features an Exhibit Hall Passport, encouraging attendees to visit booths and earn gift cards—boosting your visibility and engagement.
  • After you submit your booth attendee information, you will receive an email from Whova inviting you to create your company profile. These profiles are visible to attendees so be sure to fill it out before the conference kick-off!

Back by popular demand - The PNCWA2025 Annual Conference will once again feature a dedicated presentation track on the Exhibit Hall floor, highlighting cutting-edge innovations in water technology. Don’t miss this opportunity to showcase your expertise directly to conference attendees! All Exhibit Hall presentations will be eligible for Continuing Education (PDHs/CEUs), pending approval.

Exhibitor Spotlights - Deliver a 25-minute technical presentation on the Exhibit Hall stage. Share your latest technology or solution, and engage the audience with a Q&A session.

Exhibit Hall Mobile Sessions - Take part in guided Exhibit Hall sessions that bring attendees directly to your booth for a 5-10 minute presentation. These sessions are organized by discipline and offer a unique chance to educate attendees about your technology in an interactive setting focused on solution-oriented learning.

Frequently Asked Questions

  • What is included in a booth? Each booth is 10'x10' and includes one 6' table, two chairs, and a wastebasket. The Oregon Convention Center Exhibit Hall is not carpeted, but booth carpeting can be purchased from our show decorator, Fern.  Power must be purchased separately from our show decorator, Fern.
  • What is the cost of a booth? Standard booths are $1350 and Premium booths are $1500.
  • Is a conference attendee list provided?  Yes, conference attendee lists will be provided at the close of early bird registration and two weeks before the conference. These lists will be shared in pdf format with sponsors and exhibitors who have registered and paid at the time of mailing. 
  • How many attendees does my booth registration include?  Your exhibitor registration includes 2 representatives per booth. This does not include access to technical sessions or meals. Additional representatives can be added for $50 per person here.
  • Are meals included in our exhibitor registration?  Meals are not included but can be purchased as add-ons here until August 29. However, you are welcome to enjoy the complimentary coffee and refreshments available on the Exhibit Floor!
  • What is the booth cancelation policy? For booths released more than 45 days before the event, a 50% refund will be issued. No refund will be issued for booths canceled after July 31. Substitutions are welcome but you must notify PNCWA of all changes.
  • Does exhibitor registration include access to conference events outside the exhibit hall?  Your registration does not include access to presentations, but you can upgrade a booth attendee to full conference access, which enables you to attend presentations and earn continuing education credits (CEUs/PDHs). We DO want to invite exhibitors to attend the PNCWA Block Party, following the Exhibit Hall Closing Reception on Tuesday night!
